HCERA DATA PROTECTION POLICY

The HCERA Data Protection policy is a summary of the personal data we hold, what we use it for and how we take appropriate security measures to ensure we comply with all relevant data protection laws.
THE PERSONAL DATA WE COLLECT AND WHAT WE USE IT FOR
Names, addresses, emails and sometimes phone numbers of residents in the area covered by HCERA who pay the annual membership and/or the Ethelburt Ave Road maintenance charge are recorded. This information is kept on a Contract, lawful basis.
Names and addresses of attendees of the AGM are taken to show that we are quorate for meetings.
Names, addresses, emails and phone numbers of HCERA Committee members are shared in newsletters, the website and other communications. Committee members can request to be removed, but it is in our Legitimate Interest to use this Data.
Any personal data of members including photographs, will only be included on HCERA newsletters, websites and other communications with consent of that member. Residents should be aware that photos taken at the Summer Party may be included in the Newsletter.
Facebook page. This is a voluntary opt in for residents. It requires consent from one of the three administrators. There may be links to other sites/platforms, HCERA is only responsible for the privacy practices and security of its own platforms.
RETENTION OF DATA
All data may be stored for up to 3 years after you have moved away from the area and is renewed from data gathered during either the annual collection process or the AGM.
SHARING OF DATA
We may share data with Herbert Collins Eatates Limited, otherwise we do not normally share data with any third party.
Access to the HCERA Google Cloud Storage is restricted to current committee members and Street reps of Ethelburt Ave.
SECURITY OF DATA
We use a HCERA Google Cloud Storage with restricted access, downloading and printing facilities or other suitable security measures.
YOUR RIGHTS
You can request a copy of the personal data we hold on you.
You have the right to have your personal data rectified if it is inaccurate or incomplete.
You have the right to request that we delete or remove your personal data from our systems.
Please contact the HCERA to action any of the above.
If you are still unhappy you can complain to the Information Commissioner’s Office, the independent regulator which exists to protect people’s information rights.
